At Music in the Round, we understand that you may not want to disclose personal data when browsing our website. Music in the Round’s website provides visitors with anonymous access to information about our concerts, news, special events, learning resources, our Friends scheme and more. You can access and browse our website without disclosing your personal data.

Music in the Round uses ‘cookies’ on this site. A cookie is a small data file that is transferred to your computer’s hard disk. Mailing lists

If you choose to register to receive our newsletters by email, we will need to collect some personal information, including your email address. We will only use this to contact you with news about our forthcoming concerts and workshops as they are announced, news about Music in the Round and Ensemble 360, and occasionally fundraising initiatives and special events.

We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to general mailings at any time of the day or night by clicking the unsubscribe link at the bottom of any of our emails or by emailing marketing@musicintheround.co.uk

You can also choose to receive information about our concerts and events in Sheffield, Barnsley and/or Doncaster by post. If you choose to receive information in this way, we will need to collect some personal information, including your postal address. We will only use this to contact you with news about our forthcoming concerts and workshops as they are announced, news about Music in the Round and Ensemble 360, and occasional fundraising initiatives and special events. We do not collect or use personal data for any purpose other than those indicated at the time your personal data is volunteered and we will not use your personal information for new purposes without first asking you for your consent for your personal data to be used for these purposes.

Facebook

We also may from time to time use Facebook Advertising, Facebook Pixel Re-Marketing, and communications. We do this to understand and deliver advertising, and make adverts more relevant to you. Cookies enable us to learn whether someone who saw an advert by Music in the Round on Facebook later visited our website. The ultimate control of the dissemination of information gathered through Facebook Advertising, Facebook Pixel Re-Marketing, and communications resides entirely with Facebook. You can opt-out of Facebook’s use of cookies and Facebook Pixel Re-Marketing by controlling the settings on your Facebook Account.

Confidentiality / Security

We have implemented security policies, rules and technical measures to protect the personal data that we have under our control from unauthorised access, improper use or disclosure, unauthorised modification and unlawful destruction or accidental loss. All our employees, freelancers, volunteers and other data processors working with Music in the Round, who have access to, and are associated with the processing of personal data, are obliged to respect the confidentiality of our visitors’ personal data as part of their agreement or contract for working with us.

We ensure that your personal data will not be disclosed to other institutions and authorities except if required by law or other regulation or unless we have already sought your consent.

Any breach of this policy or of the Regulation itself will be considered an offence and disciplinary action will be taken. As a matter of best practice, other agencies and individuals working with Music in the Round and who have access to personal information, will be expected to prove they are working within the UK and GDPR data law in accordance with this policy.

It is expected that the staff who are responsible for dealing with external bodies, freelancers and volunteers will take the responsibility for ensuring that such bodies or individuals sign a contract which among other things will include an agreement to abide by this policy. This policy will be updated as necessary to reflect best practice in data management, security and control and to ensure compliance with any changes or amendments to the GDPR and other relevant legislation.

Friends scheme

If you sign-up to our Friends supporters scheme for Music in the Round, we will also need to collect some personal information, such as your postal address and some financial information, including gift aid eligibility in order to facilitate your support of Music in the Round and fulfil our terms of your Friends membership. Disclosure

We do not disclose your personal data to other organisations, unless it is a necessary part of ensuring we provide you with a pre-agreed service such as providing up-to-date information about our concerts, events and other relevant information for our supporters, as requested by you. We require all third parties who we engage (whether that be a mailing house, or a freelance fundraising consultant) to respect the security and confidentiality of your personal data, to sign a pre-agreed data transfer agreement and to treat all data in accordance with the law. We do not allow such third party service providers to use your personal data for their own purposes, and only permit them to process your personal data for specified purposes and in accordance with our instructions.

Sharing of anonymous box office data with other arts organisations, venues and relevant partners

We may share anonymised personal information with other organisations, particularly Arts Council England, who use this to analyse our audience development programmes, ticket sales and self-generated funding to understand the impact of public (and other) investment made in Music in the Round.

Many of our events are presented in partnership with venues, other artistic organisations, promoters and/or festivals in Sheffield and around the country, usually using their own box office for ticket sales, or occasionally a third party box office/sales outlet. Where you have given personal data to the box office at the time of booking, we may need to share the necessary information about your booking in order to ensure your entry to our concerts and events. We will treat this information securely and only retain it for as long as necessary in order to deliver the events in question. We may share anonymised information with other parties, such as a booking ID, postcode, the events you have booked for, time of booking, and how you booked. However, any such organisations will not be permitted to contact you directly, unless you have agreed to this with the partner organisation directly at the time of booking. We will not share sensitive information or your payment details without your prior consent. We hold data sharing agreements which specify the ways we will share our data with each of these organisations, and which can be made available on request.

Access to the personal data we may hold about you

You can ask us whether we are keeping personal data about you and request a readable copy of any personal data which we keep about you, by sending an email to marketing@musicintheround.co.uk

Although we may require you to provide proof of your identity in advance, we will aim to respond to your request within 30 calendar days and we will provide the information without any charge.

We will also allow you to challenge the data that we hold about you and, where appropriate, you may have the data erased, rectified, amended, or completed.
